Information you will need to enter the Subaward Request:
- Kuali Research (KR) Award ID: Use KR (Common Tasks > Search Awards) to find the relevant Award ID for the award that will fund this subaward. The Award ID is in the format 123456-00011. This identifier is only available once the award has been entered in Kuali Research, and can be found on the KR Award record. Use the CURRENT budget year of the award. The KR Award record must be in Approved status. This field is not required for internally-funded subawards.
- Sponsor prior approval, for after-the-fact subawards (not included in the funded proposal) and for subcontracts under Federal contracts - review the Subaward Process
- Subrecipient PI's KR Address Book ID (for NEW subawards): Use KR to look up the Address Book ID for the Subrecipient PI. Go to All Links and search for Address Book to open the Address Book Look-up. If the person does not appear in your search results, submit an Address Request form.
- KR Subaward ID (for MODIFICATIONS): Use KR (Common Tasks > Search Subawards) to find the Subaward ID that you plan to modify.

These documents list all the fields that may appear in the Subaward Request form and are intended to help you work with your PI to obtain the information needed to complete the online form:

View submitted or saved forms
- Log into Kuali Build. Click on My Documents in the top navigation menu. Then select Submitted or Drafts. Click on a form to open it. It will open in the same window - click the X in the upper right corner to return to your list.
- Drafts: These forms have not been submitted into workflow and are editable. You may start a form, save it, and complete it later, or delete a form that will not be submitted.
- Submitted: The form number is in the "Title" column. The Actions column will show what actions are available for the form. When you open the form, the actions available will appear as buttons in the upper right corner.
- Action List:
- Submitters receive a notification to "acknowledge/approve". Forms requiring approval appear in the Action List. Click on the form to review and approve.
- If a form is sent back to you for revisions, it will appear in the Action List. Click on the form to view and edit, then approve to resubmit into workflow.
Process
Workflow - After form submission, the UMB PI approves. A request for a new subaward is sent to SPA for risk assessment and then to the SPA Subaward team for review and approval. A request to modify an existing subaward is sent to the SPA Subaward team for review and approval.
The SPA Subaward team may return the form to you for revisions. Make the revisions and approve to resubmit the form for continued review.
When the SPA Subaward team approves the Subaward Request, a subaward record is created in Kuali Research, or updated if the request is for a modification. The SPA Subaward team will prepare the agreement for final review before issuing it to your subrecipient.
Status - As the Submitter, you will receive emails from Kuali Notifications at several points in the workflow. You can also log into Kuali Build, click on My Documents, and select Submitted to find out where the request is in the workflow.
- Click on the line to view the form.
- In the upper right corner, click on the 3 vertical dots, and select Workflow Status.
- Then click the View button and select Expand All to see workflow details.
If the Status column says "Complete" (in green), the form has been approved, and the Kuali Build process is completed. Submitters receive an email with a PDF of the approved form. No changes can be made to the form via Kuali Build after it is approved and complete. At this point, the Kuali Research record for this subaward has been created or updated, and the SPA Sub Team will send the new or modified subaward to the subrecipient.
